Wimbledon BTM Ticket Allocation 2011

Dear Place to Play,

We’re happy to be able to offer you an allocation of tickets for The Championships, Wimbledon 2011 ("The Championships"), to allocate to your members who are also British Tennis Members ("BTMs") in your Place to Play Ballot. British Tennis Membership (BTM) is available free of charge to all members (which may include players, volunteers and social members) of registered places to play. BTM is the official membership scheme of British Tennis aimed at encouraging people of all ages and backgrounds to play more, compete more and watch more live tennis.

We know that The Championships ticket ballot can be a very exciting event at your place to play and for your members and so we’ve put together some guidelines to help you make the most of your ballot and to keep the ballots fair and consistent across all the different places to play who are registered with the LTA.

If you have any questions or concerns, please do not hesitate to contact the appropriate County Officer, or the British Tennis Services Hub.

Places to Play Ballot Suggestions

The following are some suggestions and examples of best practice that might help your place to play get the most out of your places to play’s Championships ticket allocation and offer the best service to your BTMs. These may be helpful but are not necessary.

1. Hold a Ballot Night – this is a great way to generate excitement around the Ballot, and also to get members back down to the club after the winter season for a fun social event. Other advantages are that you can:

a. earn revenue from food & beverage sales; and/or

b. hold a tennis competition prior to the ballot to expand the pull of the event.

But remember, if any BTMs can’t attend they shouldn’t be excluded from your ballot.

  1. Adopt an ‘opt in’ system. By notifying your BTMs in advance that they will need to sign up to be included in the ballot then you’ll make sure that you don’t allocate any tickets to BTMs who can’t go, or don’t want to go. This will save you time and cut down on possible re-allocations, but you must ensure that you give ALL BTMs suitable notification, lead-time, and opportunity to opt in so none of your BTMs miss out.

Places to Play Ballot Rules

The following guidelines must be adhered to, in order to ensure that your BTMs have a fair chance of being allocated tickets in your ballot and things are done fairly across all places to play.

Place to Play Allocation

  1. A place to play cannot promise its BTMs an allocation of tickets for The Championships. The number of tickets allocated is calculated on the number of BTMs within a place to play’s county as of the 1st February (including those applications for BTM received by post by 27th January 2011.) This allocation is then divided between the places to play in that county, depending on the number of BTMs at each place to play. Your place to play will receive its allocation from your county.

  1. Places to play can also request details of how many tickets are in their allocation from the British Tennis Services Hub after 4th March 2011.
    1. Places to play with no BTMs as of 1st February 2011 shall not receive any tickets.
    2. Places to play with less than 15 members may not be allocated any tickets .To ensure the best chances of receiving an allocation, places to play should try to ensure that as many of their members as possible are BTMs.

    Distribution of Tickets

    1. All tickets allocated to a place to play must be distributed through a transparent and fairly run ballot and places to play are not permitted to charge an individual a fee for entering into their ticket ballot. Legal guidance as to how to avoid running an illegal lottery is available at www.LTA.org.uk/illegallotteries
      1. All tickets allocated to a place to play must be distributed in pairs.
      1. Any winner of tickets in a place to play ballot must use the tickets for themselves with a guest. The guest can be of the winner’s choosing and does not have to be a BTM. This is consistent with the approach of the All England Club regarding the allocation of tickets for The Championships.
      1. Any winner of a pair of tickets in the place to play ballot who is under the age of 16 on the date that the place to play ballot takes place must have permission from a parent/guardian in order to purchase the tickets and be accompanied by an adult when he/she attends The Championships.
      1. A BTM may only win a maximum of one pair of tickets through a place to play ballot.
      1. No tickets should be given away or used outside of the place to play ballot for example as a prize in any raffle, tombola etc.

    Inclusion of BTMs

    1. All current Adult and Junior BTMs (regardless of their membership category at the place to play, ie social, daytime, playing, etc) at the time of the running of the ballot are eligible and must be offered the opportunity to be included in the ballot.
    2. Main contacts at each place to play are able to view a list of the BTMs at their place to play using Places to Play Self Service. Please ensure this list is kept up to date and people who are no longer BTMs at your place to play or who are not eligible for free BTM are removed.
    3. No child BTMs (8 and under) are permitted to enter the place to play ballot and these BTMs will not be considered in the calculation of an individual place to play’s allocation of tickets for The Championships.
    4. All Adult and Junior BTMs should be allowed to opt out of entering their Place to Play Ballot. If an opt in system is being used, then these people can simply not opt in.
    5. The LTA is committed to removing the barriers that prevent people from accessing and enjoying tennis. As part of this commitment there will be an additional Accessible Seating Ballot run in 2011 for Adult and Junior BTMs. This will be for wheelchair users and those people who are unable to negotiate many stairs in order to access seats and/or have a

medically defined visual impairment. When applying for the Accessible Seating ballot BTMs will need to stipulate why they are requesting to be considered in the Accessible Seating ballot and be prepared to provide evidence or documentation of their medical condition / disability if requested. The LTA has introduced this provision in order to ensure that everyone has a fair opportunity to obtain and use tickets for The Championships that they can enjoy. Any person found to be misrepresenting any access need will be refused the opportunity to apply for further tickets in following years. Entry to the Accessible Seating Ballot can be made by sending a postcard by 30 April 2011, listing their membership number, name and address, email address and contact telephone number, to British Tennis Membership Accessible Seating Ballot, National Tennis Centre, 100 Priory Lane, London, SW15 5JQ or by emailing info@lta.org.uk or calling 020 8487 7000.

    1. If an individual has signed up to BTM on or after the 31st of January but before the ballot is held then they should be permitted to enter the place to play ballot. Club Main Contacts are able to view their current BTMs using Places to Play Self Service.
    2. Any members of a registered place to play who are not BTMs are not permitted to enter the Place to Play Ballot.
      1. If an individual is a member of more than one place to play, then they are permitted to enter the ballots at each of the places where they are members and may be permitted to win more than one pair of tickets, provided they are from different place to play ballots.
      1. If the place to play ballot is held during an event and a BTM is unable to attend the event but wishes to be included within the ballot, then their name must be included within the ballot and the BTM should nominate another BTM who is present to accept any tickets won in the ballot on his or her behalf, for example the secretary of the place to play.

    General

    1. All places to play will be required to submit and return the allocation sheet detailing which of their BTMs (including BTM numbers) have been allocated tickets to the LTA and these BTMs will also be required to sign an undertaking to abide by the Conditions of Sale of the tickets. A copy of the ballot return form and guidance will be distributed by your County.
    2. The timing and cut off date for a place to play ballot is at the discretion of the club and the official cut off date for ballots to be held is at the discretion of the county.
    3. Standard Terms and conditions are provided for all clubs to follow when running ballots. These are available at www.LTA.org.uk/BTMTC
    4. If you have any questions or concerns please contact your county contact or the British Tennis Services Hub on:
